Purchasing / Customer Service Agent

Position Summary
The Purchasing / Customer Service Agent coordinates supplier orders and customer communications to keep production running smoothly. This role issues purchase orders, monitors deliveries, maintains accurate records, and supports customers with order entry, status updates, and problem resolution. It’s well suited for someone organized, communicative, and detail-oriented who enjoys a mix of purchasing and customer interaction in a small-team manufacturing environment.
Essential Duties
- Source and evaluate vendors; request quotes and issue purchase orders.
- Negotiate pricing, lead times, and terms to balance cost and delivery.
- Track acknowledgments, shipments, and deliveries; expedite when needed.
- Maintain vendor and part data in the ERP or accounting system.
- Verify receiving documentation against purchase orders for accuracy.
- Support supplier qualification and performance reviews.
- Enter and maintain customer orders and quotes accurately.
- Communicate lead times, shipping updates, and order status proactively.
- Coordinate with production and shipping to ensure on-time delivery.
- Manage returns, replacements, and adjustments promptly.
- Support sales and account management in maintaining customer satisfaction.
Qualifications
Education: Associate’s degree in Business, Supply Chain, or related field preferred; equivalent experience accepted.
Experience: 2+ years in purchasing, customer service, or administrative support (manufacturing or distribution preferred).
- Proficient in Microsoft Excel, Word, and Outlook.
- Experience with ERP/accounting systems (QuickBooks Online, Fishbowl, etc.).
- Strong communication and negotiation skills.
- Accurate data entry and attention to detail.
- Ability to multitask and collaborate across departments.
Preferred Attributes
- Familiarity with electronics or mechanical component sourcing.
- Knowledge of quality documentation (packing slips, C of C’s, inspection checklists).
- Customer-focused problem solver with a continuous-improvement mindset.
Work Environment
Office setting within a small manufacturing facility; frequent coordination with production, engineering, and shipping teams; occasional inventory support.
